Describe the work that would continue
List the processes depending on the tool, the teams involved, and any downstream systems. Identify where a manual or replacement process would be needed. A vendor export is not necessarily a usable transition plan.
Request concrete answers
Ask which information can be exported, in what format, by whom, and during what period. Ask how deletion, backups, subcontractors, and retained records are handled under the agreement. Have the relevant technology, privacy, procurement, and records staff evaluate the answers.
Test before the deadline
Where appropriate, try an authorized sample export using non-sensitive test information. Confirm that someone can interpret it. Record notice dates and decision owners early enough to avoid making a substantive choice merely because the renewal window has closed.
